Location: The GRAND - Calgary, AB (some remote work as needed)
Temporary: 25 to 35 Hours / Week

Your expertise:
PLANNING AND ORGANIZING: Solid organizational and project management skills.
INFORMATION SEEKING: efficiently and effectively gather information, identify information required to clarify a situation, and seek information from appropriate sources.
FOCUS ON QUALITY AND DETAILS: Detail oriented and creative problem solver who consistently prepares high quality work.
EFFECTIVE INTERACTIVE COMMUNICATION: Strong communicator, being able to effectively work with GRAND staff, GRAND patrons and clients.
CROSS-CULTURAL SENSITIVITY: Cross-cultural sensitivity and unbiased execution of events and interaction with diverse patrons and clients.
COOPERATION AND COLLABORATION: Proactive in identifying new solutions and practices in event/performance execution with a diverse team.
What you’ll be doing:
The Venue Rentals Coordinator works closely with the Events team and plays a key supporting role in executing events ensuring smooth operations. The ideal candidate will be detail-oriented, adaptable, and customer-focused, with excellent organizational and communication skills.
Duties of the Venue Rental Coordinator position may include, but are not limited to:
Coordinate bookings of events hosted at the venue.
Prepare and distribute event quotes, inquiry forms, event summaries, and post-event reports.
Communicate with clients to understand their event requirements, preferences, and expectations, ensuring a high level of customer service throughout the planning process.
Communicate event specifications, timelines, and client requirements to internal departments to ensure seamless coordination and execution.
Assist with event setup and ensure all event spaces are properly prepared, organized, and ready for use.
Coordinate with external vendors, suppliers, and service providers as required to support successful event operations.
Maintain accurate event schedules and timelines, ensuring events are well organized and run smoothly.
Provide on-site event support as required, assisting with coordination and addressing operational needs throughout the event.
Assist with venue tours and walk-throughs for prospective and confirmed clients, providing information about the venue and its capabilities.
Support efforts to ensure the venue and events comply with applicable regulations, policies, safety requirements, and operational standards.
Gather client feedback and assist with appropriate follow-up actions to support client satisfaction and continuous improvement.
Identify opportunities to improve event processes, operational efficiency, and the overall client experience.
Provide additional event and venue support as required to contribute to the successful operation of the venue.
Your educational background:
Post secondary education is an asset, but not a requirement.
Previous Event Coordinating experience is an asset.
Intermediate level computer skills in Google Suite, MS Office.
Position Type:
Reporting into the Interim Manager, this is a position that may begin as part time then increase in hours as needed. Any additional hours will be compensated according to our time in lieu policy, or will be negotiated with the Interim Manager.
Salary: $24-$28 per hour, commensurate with experience
