OTHER FEES & PENALTIES
1. Capital Replacement Fund / Facility Fee. For events that do not require ticket sales, a Capital Replacement Fund charge of $3.50 per attendee will apply. This fee is assessed only for actual attendees. The CRF charge is determined before the event and reconciled afterward based on attendance numbers. Any discrepancies in the CRF charge will be refunded to the licensee. For charitable events offering free tickets, the licensee will be charged $2.50 for each complimentary ticket issued.
Understanding the Capital Replacement Fund (CRF) Fee
The Capital Replacement Fund (CRF) fee is a charge implemented by venues to aid in maintaining and upgrading their facilities. This fee, typically applied per attendee, helps cover the costs associated with the wear and tear of the venue's infrastructure and ensures that it remains in excellent condition for future events. The CRF fee is calculated before the event takes place and is reconciled afterward, meaning that if the total number of attendees varies from the initial estimate, any differences in the fee will be refunded to the event's licensee. This approach allows venues to manage their resources efficiently while providing a quality experience for all guests.
2. Cleaning. A standard cleaning fee is included with the use of the Venue. However, should anything more than standard cleaning or repair be required, then the Licensee will be responsible for and agrees to pay all costs associated with cleaning and repairing the Venue to return the Venue to its state of cleanliness and repair prior to the use of the Venue, as determined by The GRAND in its reasonable discretion.
3. Glitter, Confetti, Oil, and Other Difficult Materials and Substances. The Licensee acknowledges that any use of glitter, confetti, excessive body oils, and/or any other materials or substances that are difficult to remove and/or stain, damage, or otherwise affect the Venue and/or other facilities will incur an automatic cleaning fee of five hundred dollars ($500.00) payable by the Licensee to The GRAND in addition to any other cleaning costs.
4. Bar
Bar Gratuity: An eighteen percent (18%) gratuity is charged on all host bars in connection with bar services provided by The GRAND.
Bar Minimum for Performances:
To ensure staff costs are covered, the bar requires a minimum spend of $30 per bartender per hour, with a minimum booking of 4 hours. The exact number of bartenders needed will be determined by The GRAND based on event requirements. While there are no upfront booking fees for the bar, please note that if the minimum spend is not reached, the remaining balance will be deducted from your damage deposit.
Bars for Special Events, Receptions, and Galas:
For events outside regular performances, The GRAND charges $30 per bartender. The number of bartenders required will be determined solely by The GRAND, based on the nature of the event and the expected number of guests.
5. SOCAN and Re:Sound. SOCAN and Re:Sound have created a combined organization called Entandem, which simplifies the process of procuring and paying the necessary licenses and tariffs for the performance of live music and the use of recorded music. The Licensee is responsible for procuring and paying for any necessary licensed and tariffs for performance of live music and use of recorded music in relation to the Activity. Prior to the disbursement of any owed revenues or the return of any Refundable Damage Deposit, the Licensee must provide proof of remittance, which The GRAND will identify for the client. 6. Volunteers. For all events with a public or private audience, The GRAND will have Front of House staff onsite the cost of which will be included in the Licensee’s Quotation. However, the Licensee is also required to provide a number of volunteers per event, as communicated in the Quotation or in any other written or electronic communication. Volunteers must be confirmed at least one (1) week before the first booked date of the License Period and The GRAND must be provided with contact information to send relevant details. If they are not confirmed, then The GRAND reserves the right to hire one (1) Usher for every missing volunteer at $25.00 per hour at a minimum of four (4) hours. If volunteers are confirmed but fail to show, then The GRAND will charge a penalty of $100.00 per no-show per event.
7. Requirement of Technical Information. The GRAND requires technical information no less than four (4) weeks from the first booked date as noted in License Period. Failure to provide such information may levy a penalty equal to the amount of overtime required by our team who advances the event to work additional hours to advance the show last minute.
8. Contravention of Labour Rights. If the Licensee pushes their schedule such that The GRAND’s technicians are not able to take their scheduled breaks as per the License Schedule, then a Meal Penalty of ninety dollars ($90.00) per technician per hour will be charged until a break is taken. Overtime penalties of 1.50x to 2.00x of the Technicians’ hourly rate may also apply depending on the nature of the contravention of labour rights. In extreme cases, The GRAND reserves the right to halt all work on the event, including the event itself, to provide its technicians with a break.
